FOR GROWING SMEs & FAMILY BUSINESSES

01 / RECOGNISE THE FRICTION

Does any of this
sound familiar?

The starting point is your experience. The next step is understanding what’s behind it.

02 / START WITH A LITTLE CLARITY

Where does work
get stuck?

Take the Business Bottleneck Check. Reflect on the last month and get one practical observation exercise.

Your answers stay in this page and disappear when you reload. This is a reflection tool, not a diagnosis or a business health score.

A PRACTICAL FIRST STEP

What keeps coming
back to you?

You do not need to fix everything at once. Use the Three-Day Decision & Approval Log to notice which decisions return to you, and explore why.

  1. Record. Capture up to five examples on each of three typical working days.
  2. Notice. Compare your notes and choose one recurring pattern.
  3. Discuss. Ask the person handling that work what would help them proceed.

Print the daily log page three times, or copy its headings into a notebook. Keep names and sensitive details out of your notes.

SEE THE THINKING IN PRACTICE

A repeated approval.
A better question.

Illustrative example, not a client case study or a claim of results.

01 / THE SYMPTOM

Discounts keep waiting.

A sales lead keeps asking the owner to approve routine customer discounts. Replies wait until the owner is available.

02 / THE EVIDENCE TO CHECK

What is actually unclear?

Review recent requests with the sales lead. Were the permitted range, margin information, or decision rights clear? Check exceptions before assuming a cause.

03 / A POSSIBLE EXPLANATION

The boundary may be missing.

If routine requests fall within a range the owner would accept, the team may need an explicit approval boundary. Other requests may still need the owner.

04 / A SMALL TEST

Try one rule. Review it.

Agree a limited discount rule for one team, with clear exceptions. Compare waiting time, escalations, and margin exceptions with the baseline, then adapt or stop.

Your first step: gather a few real examples before choosing a fix.

Use the three-day log

03 / HOW WE WORK

Understand first.
Improve with purpose.

Start with a defined problem. Expand only when the evidence and your team’s readiness support it.

01

Diagnose

Investigate actual work, hear from the team, and identify the priorities worth acting on.

Decision: what should change first?
02

Pilot

Test one scoped improvement with an owner, a baseline, and agreed success measures.

Decision: adapt, expand, or stop?
03

Embed & expand

Build on what works. Establish review routines and help your team maintain the improvement.

Goal: ownership that holds.

04 / UNDERSTAND WHAT’S REALLY HAPPENING

The Operational
Health Check.

You’ve tried fixes, but the same issues keep returning. What is keeping them in place? The Operational Health Check looks deeper into how work happens, so you can decide what to address first.

Start with a free discussion

Start with a conversation. If a Health Check is appropriate, we’ll explain the scope and fee before you decide.

Clarity you can act on.

A bounded scope
One business unit or operational problem, including relevant handovers.
A grounded investigation
Sponsor and team conversations, selected records, and walkthroughs of actual work.
A practical decision package
Findings and uncertainties, top priorities, ownership gaps, and a recommended action plan.
An honest readiness check
Who owns the change? Do they have the authority, time, and support to carry it through?

Typical starting scope: one sponsor, up to four team members, and up to two connected workflows. Around two weeks once access and information are available.

Scope, timing, and a fixed fee are agreed before work begins. We can walk through selected sample outputs during a discovery conversation.

THE PERSON YOU WILL SPEAK WITH

Meet Kyo.

Founder & Business Architect, KaxonSys

I work with business owners and teams to understand how work actually happens: where decisions wait, where ownership is unclear, and where the same issues return.

My approach is to clarify the problem, test a practical improvement, and help the team take ownership of it. The aim is a way of working your people can maintain.

Our first conversation starts with your situation, what you have tried, and what you want to improve.

Talk through your situation with Kyo

05 / A CONVERSATION IS A GOOD START

You don’t need all
the answers to start.

Spend 15–30 minutes with Kyo discussing what feels stuck, what you’ve already tried, and what you’d like to change. We’ll explore whether KaxonSys can help.

The initial discussion is free, with no obligation to proceed. We’ll agree on a suitable next step together. Any further advisory or Health Check work has a separate scope and fee, agreed in advance.

What happens next?

Your enquiry is saved for KaxonSys to review. A discussion time is arranged separately; submitting this form does not book a meeting.
